Users are created and edited under Users in Company Settings. This is where all User Information, Teams, Roles, Permissions, and Assignment Rules are moderated.
The Admin User will provide, at minimum, the following User information: User Role, First Name, Last Name, Email Address, and Password; GV offers the option to have the password Auto-Generated. Email Notifications settings, i.e. types of notifications to copy the user on, and the option to allow Account Assignment based on Assignment Rules are also set here.
Admin may choose which Notification Emails the User get’s CC’d on by clicking the drop down, selecting the types, and clicking Apply. Once all options are selected the Admin User clicks Save and Send User Invite; this will send an email to the New User inviting them to sign into GleanView.
GleanView gives Admin users full control of Roles and Permissions. There are a number of preset Roles such as Administrator, Manager, Marketing User, Sales Manager, and Sales User. In addition, Admin has the option to edit Permissions on preset Roles, or to create New Roles and choose Permissions as necessary. For a more in depth explanation of Roles click here.
New Roles and Permissions
To create Roles the Admin user clicks New Role in the Role tab under Company Settings. From here the Role Name is assigned along with all Permissions. Permissions are broken down into groups; Sales, Marketing, and Analytics. After all Permissions are set click Create Role to save changes.
Admin has the ability to build Teams based on the Users. For example, a Team may be comprised of Sales Users and another Team of Marketing Users. Teams are helpful with routing Assignment Rules, and allowing Admin Users to select Permissions of an entire Team; which is useful for limiting what Accounts, Contacts, Quotes, Reports, Calendar Views, and Sales Analytics Users of each Team can view.
To create a Team the Admin User clicks New Team in the Teams tab under Company Settings. Admin Users type in the Team Name, and use the drop down to select what Users will be placed in that Team.
Team Permissions are set under Role Permissions, allowing Admin Users to choose what will be visible to each Team and it’s members.
For Admin users wanting to manage Leads, GleanView offers the functionality to create Rules that determine how Leads are assigned to Users. To create a new Assignment Rule the Admin User clicks New Rule in the Assignments Rules tab under Company Settings.
To create a New Assignment Rule the Admin User clicks New Rule and types in the name of the Rule.
The stage for the New Rule is then selected from the Change Current Stage drop down.
From the Select Users drop down, Admin designates which users the rule will apply to.
Finally, the Conditions of the rule are chosen: Condition Type, Condition Value, Comparison Type, and Value. Though Assignment Rules may have many conditions (depending on how granular the Admin chooses), only one condition is needed to create a rule.
