The GleanQuote app for Pipedrive enables you to create quotes and proposals from your Pipedrive Deals and Organizations. You can install the GleanQuote app directly from the Pipedrive marketplace or from GleanQuote company settings.
Installation Links:
Note: You must be an admin user in GleanQuote to set this integration up.
To install GleanQuote from within Pipedrive, go to Pipedrive Marketplace Listing and click the Install Now button
If you are not already logged into Pipedrive, Login now or click Try it free to start a new account.
You will then be presented with an authorization confirmation screen that details the permissions you will be giving the GleanQuote app. If you agree, then click the Allow and Install button.
You are then given a choice to keep the app private or share it with all company users. If you will be the only user, then keep it private, but for most cases, you will want to select the Shared option. Although this will share the app with all Pipedrive users, any users that are not also GleanQuote users will not be able to create/edit quotes from within Pipedrive.
If you do not have a GleanQuote account, you will see the login page. Click the Sign Up Now button and start a free trial. From there, you can convert to a paid account by going to company settings/billing or you can contact us.
If you already have a GleanQuote account and you are an admin user, you will then see the GleanQuote integrations page. The Pipedrive integration should display as Enabled.
You can Disable the integration at any time by clicking the Disable button on the integration card here. You can also disable the integration from within Pipedrive.
To continue setup, click the blue Edit Settings button on the Pipedrive integration card.
Integration Settings:
Setting 1: Update Deal Amount
Since GleanQuote allows both recurring and non-recurring items in quote tables, you can select how you want the total to be pushed back into Pipedrive.
Recurring Totals will be annualized if you have a combination of Weekly / Monthly / Quarterly / Annual.
If you select "Sum of Both Totals" it will annualize all recurring amounts and add to the non-recurring giving basically a first-year total combined.
Setting 2: Auto Populate Deal Line Items
You can select to send all quoted line items back into the Deal Products exactly as configured and priced using GleanQuote including any discounts.
You can also select if this sync happens when the proposal is edited or sent from GleanQuote to the customer (using our Send and E-Sign feature)
If you are managing extra product fields (specs, etc...) in GleanQuote and wish to push those back as well when synced, this is also where you can map those fields.
Setting 3: Product Sync
You can choose where you wish to manage your products and sync to or from GleanQuote.
- Note - Managing simple line items is easy in both, however, if you are managing complex configured products and pricing, most customers choose to manage in GleanQuote and Sync back to Pipedrive. (Either way, the line items will sync - this is for the master product library)
- If you choose to Sync Products, Pipedrive requires that you add your API token found here
- Copy and paste that token into the box provided.
Setting 4: Update Deal Stage
Here you can select to map GleanQuote Proposal Status to Deal Stages
Setting 5: Customer and Deal Data Mapping
You will then be able to complete the field mapping between Pipedrive and GleanView for Accounts, Opportunities (Deals in Pipedrive) and Contacts. Any custom fields in Pipedrive that you would like to map must already be created in GleanQuote for them to display in the mapping drop-downs. Click the Add Row button to add more fields for mapping. Only mapped fields will be synced from Pipedrive to GleanQuote.
Mapped fields:
- Used to ensure the correct customer and deal is connected to the correct proposal
- All data can be used as a variable in any text field inside the proposal to eliminate double entry
- Any Numeric field can be used in a calculated price on a product or option in the GleanQuote product library
Creating a Proposal from Pipedrive:
Once the GleanQuote app is installed in Pipedrive, you will see the GleanQuote app extension card on the left side of all Pipedrive deals and organizations.
You can create a new proposal by clicking the New Proposal button on the card.
- The card also shows all other proposals created for this deal and these can be expanded or collapsed using the arrow on the left.
If you are an existing user in GleanQuote and you are already logged into GleanQuote, the new proposal creation modal will display, otherwise it will take you to the login screen first.
Any mapped information about the contacts, organization, or deals associated with the proposal will be synced to GleanQuote. New records in GleanQuote will be created or existing records will be updated every time a proposal is created or edited.
Not a GleanQuote User?
If you are not an existing user of GleanQuote, then the GleanQuote login screen will display and you will not be able to create or edit quotes without a GleanQuote login.
Once you have created your proposal in GleanQuote, summary information will be displayed in Pipedrive in the GleanQuote app extension card. This information is updated any time a proposal is edited or the status is changed. You can open the proposal in GleanQuote at any time by clicking the Edit link in the app extension card.
In addition to proposal summary information, timeline activities will be created for the proposal in Pipedrive.
Uninstall or Disable:
To disable the GleanQuote app from within Pipedrive
- Go to Tools and Apps (can be found by clicking your user Icon on the top right)
- Select Marketplace Apps
- Click the 3 dot menu to the right of the app and click uninstall.
Once the app has been disabled, you will be able to verify by viewing the app card in GleanQuote in company settings / integrations.
Already have a GleanQuote Account?
You can also install the app from GleanQuote directly if you already have an account.
Simply go to Company Settings/Integrations and click the Enable button on the Pipedrive card. The process will then be the same flow of installing the app from within Pipedrive.
You may need to refresh your Pipedrive screen if you have it open for the GleanQuote card to appear.
