The content library is where you keep images and other files that can be accessed for proposal creation, product media files and attachments. Think of it as your sales and marketing collateral library. You can organize the content files using folders. You cannot add files to the File Library folder - this is reserved for files that GleanQuote adds for all clients as shared files.
You can add unlimited files to the content library. The size limit for any one file is 30MB. The allowed file types are displayed in the image below:
Tags can be created to categorize files in Company Settings / Customization / Tags
There are several pre-defined File Types, which are displayed in the image below:
You can add additional file types in Company Settings / Customizations / Drop Downs and clicking the pencil icon next to the File Type row. This will allow you to add additional file type values to the drop down.
When you upload a new file, you can specify the title, tags, file type, and folder for the image. These, along with the file name will help you organize your content library so that users can easily find the right content to match the customer needs.
After saving your content files, you can view them by clicking the Content Library link in the app navigation. The default view will be the preview icon view, but you can toggle to the list view by clicking the icon in the upper right hand corner of the header.
Clicking the three dot menu on the right side of the gray bar below the image, or on the very right side of any row if in list view mode, will display actions that can be performed for each file. Click the Details selection if you want to edit any information such as Title, Tags, Folder, etc.
You can move files to different folders by checking the box on the left hand side of the file row or the box by each image in the thumbnail view and then clicking the Move To drop down and selecting a folder.
You can sort and filter the files using the drop downs and search bar.
All files in the Content Library are available to add to proposals, product media, and attachments to proposals.
CONTENT LIBRARY PERMISSIONS
You can set Content Library permission to control which users have access to modify or create content library files. Permission levels are All or None for the Content library actions.
Only users with Content Library permission of Create/Edit/Delete = ALL are able to modify content library folders, add/delete files to the content library, bulk edit files in the content library and modify content library tags.
Only users with Content Library permission of Share = ALL can edit the user roles that folders/files are shared with.
CONTENT LIBRARY SHARING
You can controls which user roles can access individual files within the content library. Simply click the three dot menu below the file image and select Share
A modal will then display which will allow you to select which roles should have access to the file.
You can also select which roles have access to entire folders within the content library. Simply click manage folders and then hover over the folder you want to control access to.
Then click the sharing icon (the second one from the left) and the role sharing modal will display, allowing you to select which roles should have access to the folder and files within it.
