You can create QuickBooks Online estimates from GleanQuote proposals with the QuickBooks Online integration.
GleanQuote admin users can enable the integration in Company Settings/Integrations/Accounting and click the Connect to Quickbooks button on the QuickBooks integration card.
If you are not already logged into QuickBooks, then you will be prompted to sign in.
Once you are signed in, you will need to authorize the QuickBooks connection.
Once the connection is authorized, you will see that the status on the QuickBooks integration card displays a status of "Enabled". You can disconnect the integration at any time by clicking the Disconnect from QuickBooks button.
Click on the Edit Settings button to set up the integration.
In the integration settings, you can choose which customer fields will be overwritten with data from GleanQuote when a GleanQuote proposal is synced into a QuickBooks estimate. Customer is transferred from GleanQuote to QuickBooks during each sync. If the Customer does not exist in QuickBooks, it will be created. If it does exist, then these settings determine which fields will be overwritten.
Next you can specify the income account and expense account associated with the products.
You can synch proposals to QuickBooks from the GleanQuote overview page for the proposal. Click the Get PDF button and you will see an option to Send to QuickBooks (if you have the integration enabled in company settings).
This sync process creates ESTIMATES in QuickBooks, which can then be converted into invoices.
Here is an example proposal in GleanQuote:
And here is how the synched estimate looks in QuickBooks:
You will notice some formatting differences depending on the type of products that are included in your proposal. Products with options and bundles are handled different in QuickBooks than GleanQuote. Also, if you add additional subtotal lines in GleanQuote, they will be displayed as item lines in QuickBooks.
If you edit a proposal in GleanQuote that has already been synched to QuickBooks and resend to QuickBooks, the data on the QuickBooks original estimate will be edited - a new estimate will not be created.
Product data in QuickBooks is automatically overwritten with new data from GleanQuote.
