Overview
Instead of adding products or services one by one, you can bulk import them into GleanQuote using a CSV file. It’s also perfect for updating existing product info, like pricing or descriptions.
What You Can Import
Here's what you can include in your CSV import:
- Product/service details (Name, Model, Price, etc.)
- Custom fields (as separate columns)
- Sales tips and cross/upsell/downsell items
- Image/media URLs (must be public links)
- Option sets and tags
- Pricing/billing settings
What You Can't Import
You’ll need to enter the following manually:
- Bundled products
- Product options (you can import option sets)
- Volume pricing, formula pricing, % of total or conditional pricing
(Don't worry - GleanQuote has solutions for all of these, but they don't live in Bulk Import.)
Important Fields to Know
Field | Details |
---|---|
Price Calculation Method | Fixed Price (default), Cost Plus Markup, Cost Plus Margin |
Billing Frequency | Daily, Weekly, Monthly, etc. (Default: One-Time) |
Editable Cost / Price | Yes or No (Default: No) |
Option Set | List option sets, separated by commas |
Description | You can use basic HTML like <b> or <br> for formatting |
Image URL | Use public URLs; separate multiple URLs with a space |
Tags / Multi-select | Separate multiple values with commas |
Tip: Don’t include currency symbols. Use a period (.) for decimal places (e.g., 199.99).
Getting Started with Bulk Import
- Go to the Product List view in GleanQuote
- Click the orange “Bulk Import” button
Preparing Your CSV File
- File must be under 5MB
- Required columns: Model, Name, Price, Supplier
- The product catalog is Model-centric. Each model number must be unique, and it is the only field that cannot be edited once the product is created.
- Define Suppliers and Custom Fields under Company Settings before import so that each column maps correctly
- Each row = 1 product or service
- Use commas to separate tags or multi-select values
- Do not include blank rows
- If price is not defined, use 0 instead of leaving blank
Mapping Your CSV Fields
Once your file is uploaded:
- Match your CSV columns to GleanQuote fields
- Use “Map to Additional Field” if needed
- Set rules for duplicates: Overwrite, Do Not Overwrite, Overwrite if Blank
- For tags/multi-select: "Add to Existing Values" is also available
- Toggle “Exclude from Import” for columns you don’t need
Fixing Mapping Errors
If a value doesn’t match an existing one:
- Add as New Value
- Map to an existing value
- Add as No Data
Example: If “On Sale” was a typo for “On Sales,” you can fix it during import.
Final Review
Preview the import using the first row of your CSV. Double-check everything is correct.
Complete the Import
Click “Accept and Import.” Your file will be processed in the background.
You’ll get a notification or email once it’s complete (based on your user settings).
View Your Imported Products
Once the import finishes, go back to your Product List View to see everything you just added.
Bulk Update Existing Products
You can use Bulk Import to update your existing product catalog. From your Product List View:
- Select the products that you want to update
- Use Toggle Columns to select the fields you need to update
- Always include required fields (Model, Name, Price, Supplier), as they must be on your CSV for re-import
- Click "Bulk Export" from the dropdown beside Toggle Columns.
- Use the exported CSV file to edit the fields you need to update.
-
Bulk Import your updated CSV file using the same process outlined above.
- Make sure to select "Overwrite" from the dropdown under Duplicate Data on all fields that have been updated.
